  • Documents and images shared via WhatsApp
  • Phone number and WhatsApp profile information
  • Metadata (timestamp, message status)

Automatically Collected Information

4. WhatsApp Communication and AI Features

Voice Message Transcription

When you send voice messages via WhatsApp, we use AI-powered speech-to-text technology to transcribe your audio into text. This helps us:

  • Process voice notes efficiently
  • Maintain searchable conversation records
  • Respond to your queries more accurately
  • Provide better customer support

Transcription Process: Voice messages are temporarily processed by third-party AI services (Sarvam AI, OpenAI Whisper) to convert speech to text. The audio data is deleted after transcription, and only the text transcript is stored.

AI Chatbot

Our WhatsApp AI chatbot may automatically respond to your queries. The chatbot:

  • Understands and responds to common questions about loans
  • Provides loan status updates and document requirements
  • Schedules callbacks and reminders
  • Forwards complex queries to human agents

Data Processing: Chatbot conversations are processed by AI services (OpenAI GPT) to generate relevant responses. Your conversation history is stored for service improvement and support continuity.

Document Processing via WhatsApp

When you share documents via WhatsApp (PAN, Aadhaar, bank statements, etc.):

  • Documents are downloaded and stored in our secure system
  • AI OCR technology extracts relevant data automatically
  • Extracted data is used to process your loan application
  • Original documents are retained for verification and compliance

WhatsApp Data Sharing with Meta

WhatsApp is a service provided by Meta Platforms, Inc. By using WhatsApp to communicate with us:

  • Your phone number and message content are shared with Meta as part of WhatsApp's normal operation
  • Meta's privacy policy applies to data processed through WhatsApp services
  • We use WhatsApp Business API which may share limited metadata with Meta

Your Consent: By sending messages to our WhatsApp number, you consent to the collection and processing of your WhatsApp communication data as described in this policy.

WhatsApp Communication Opt-Out

If you no longer wish to communicate via WhatsApp:

  • Send "STOP" or "UNSUBSCRIBE" to our WhatsApp number
  • Request to opt-out via email at privacy@sigmadsa.com
  • We will cease WhatsApp communications within 7 business days

5. Data Sharing and Disclosure

  • Service Providers: Third-party vendors who assist in our operations (cloud hosting, analytics, payment processing, AI services for transcription and chatbot)

  • Business Transfers: In connection with mergers, acquisitions, or asset sales

We do not sell your personal information to third parties.

6. Data Security

We implement industry-standard security measures to protect your information, including:

  • 256-bit SSL/TLS encryption for data transmission
  • Encrypted data storage on secure cloud servers
  • Regular security audits and vulnerability assessments
  • Access controls and authentication mechanisms
  • Employee training on data protection practices
  • Secure processing of voice messages during transcription (audio deleted after processing)

However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law.

  • Financial and loan-related data: Up to 7 years to comply with regulatory requirements
  • WhatsApp conversation history: 3 years from last communication
  • Voice message audio files: Deleted immediately after transcription (only text transcript is retained)
  • AI chatbot conversations: 2 years for service improvement and support continuity
  • Documents shared via WhatsApp: Retained according to loan file retention policy (up to 7 years)

8. Your Rights

You have the following rights regarding your personal information:

  • Access: Request access to your personal data, including WhatsApp conversation history
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your data, including WhatsApp messages (subject to legal obligations)
  • Portability: Request a copy of your data in a portable format
  • Objection: Object to processing of your data for certain purposes
  • Withdraw Consent: Withdraw consent for data processing where applicable, including WhatsApp communication
